People who email us
At the present time we are not encrypting emails so you should be aware that any emails we send or receive may not be protected in transit.

Storage
WPOF will store personal data in an encrypted spreadsheet in a secure location on Dropbox and email boxes on the website run by a company called webpreference and email addresses in trustees personal email inboxes. Physical, electronic and operational procedures have been put in place to safeguard and secure the data.

WPOF hold personal data on the basis of explicit consent for the legitimate purpose of informing members and supporters about events, and information about WPOF.
Restriction and deletion of data
A person whose personal data is held by WPOF can at any time ask for it to be restricted or deleted.
When a request is received for a person’s personal data to be restricted. The secretary or administrator will move their personal data to a sheet on the personal data spreadsheet and then request all trustees and officers to remove that person’s data from their mailboxes.

Use of data processors
Data processors are third parties who provide Website hosting forr us. We have contracts in place with our data processors. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will not share your personal information with any organisation apart from us. They will hold it securely and retain it for the period we instruct.

WPOF tries to be as open as it can be in terms of giving people access to their personal information.
